AGM 2010/2011

All members and alumni are strongly encouraged to attend this AGM.

There will be a voting session on 22 Dec (Wed) after training. Do come down to yo:HA Ulu Pandan to vote. Every vote counts and the future of the club lies in you! We'll be revealing the positions available and a description of the position.
Read through all of them and decide which of your friends or even yourself are capable of handling the position and bringing the team to greater heights!

There will be a total of 7 positions available for the new committee:
1. President
2. Male Team Captain
3. Female Team Captain
4. Logistics cum Safety officer
5. Treasurer cum Secretary
6/7. Events and Marketing Officer (2 people)

Things to consider before casting your vote:
- is the candidate committed to training/club
- is the candidate responsible
- is the candidate suitable for that particular position
- is the candidate able to lead the team
- does the candidate have other commitments (e.g other CCA, hectic work/school schedule)

President:
• President of the Club will be the overall in-charge of the whole club overseeing that everything is running smoothly
• Ensure that the other various departments are fulfilling their job scope
• Initiate a monthly meeting to solve problems or any improvements required or to address any of the members’ queries.
• To be aware of the latest events/news on canoeing (i.e. competition dates and events etc) with the help of events and publicity/Team Captain.
• Ensure that everything has been approved by the school before proceeding
• Keep track of funds as recorded by the treasurer
• Keep track of training schedules and ensuring that members are active in training
• Liaise with the coach to determine training schedule together with the team captains
• Ensure safety of members.
• Ensure that the all members work as a team. Have initiation programs or team building events as when necessary (together with student relations)
• Source out potential leaders for handling over when time comes

Team Captain
• To ensure safety of all members during training.
• To ensure that all members participate actively during training.
• Keep track of members potential and changes during training.
• To initiate events for members to encourage team building and participation. (e.g. Dragon boating)
• To assist the coach during training or in the event of the coach not able to be present for the training.
• To take the attendance for each and every training
• To come up with training programs/exercises to improve the performance of the members

Treasurer cum Secretary:
• To keep track of accounts and maintain club funds.
• To come up with a training budget.
• To settle any payments for purchase of team equipments (i.e. jersey, boats, paddles)
• To collect membership fees and administration fees.
• To liaise with Coach for coaching fees and with Team Captain for the venue payments.
• Settle any other miscellaneous fees or payments.
• To come out with Agenda of meeting prior to it. Should be 4 days in advanced before commencement of the meeting.
• To note down what is discussed during the meeting.
• To produce minutes of meeting for ex-cos which contains all information of the meeting that was held.
• To keep members up to date with upcoming events and any other important information.
• Bookings of rooms for meetings and trainings are to be done at least 3 days before the meeting or trainings.

• Have to come out with Nominal roll with all information of members of canoeist.
• To assist the President and Vice President in all their duties.
• Any other ad-hoc assignments from president and vice president.
• To also assist other excos in their events planning

Logistics cum Safety officer
• To maintain equipments and other logistical matters that involves events and competitions. (e.g. Things to purchase for the events/competitions)
• To liaise with treasurer with the budget required for maintenance of equipments and purchasing of items for events and competitions
• To collate shirt size for all members and purchasing of t shirts.
• To keep stock of all logistical matters
• To get orientation/student/recruitment week booth prepared a few days before actual day.
• Ensure that members observe safety rules and regulations
• Ensure that members handle equipments correctly and safely
• To assist coach/captains on the distribution of boats/life jackets/paddles prior to sea training
• To source for transport and handle the catering of food for camps.

Events and Marketing cum Welfare Officer
• To be kept updated with the latest canoeing activities/events or competitions
• To organize team events within the club members itself to incorporate team building and cohesion. (i.e. Initiations for new members)
• To organize orientation booths in time of recruitment drive.
• Get contacts of any potential canoeist in school to join the club.
• Publicize the club and its activities.
• Design team logo and shirts.
• To get ordinary members for help in the organizing and any of the job
• To update the blog regularly
• To organise monthly birthday celebrations
• To update the blog regularly
